Job Description

We are looking for a polished, professional, highly capable Private PA to come on board to support UHNW Principle out of the family office in Mayfair. This is a busy, fast paced, dynamic role which requires a high performing candidate who is incredibly well organised and has excellent communication skills. Attention to detail is critical for this position as well as the ability to juggle a busy and forever changing work-load on a global scale. This role involves worldwide travel co-ordination as well as the management of a number of diaries, across multiple time zones as such speed, accuracy and efficiency essential. The diary management and scheduling is fundamental to the smooth running of the office and does require regular updating, therefore we are looking for a candidate who has proven experience in this area. In addition to the complex and busy diary and travel management you will also be involved in traditional PA duties as well as project and event work. The role does have huge scope and the opportunity to travel globally and so a flexible, proactive approach is key. Please note this role is fully office based.

This is an exciting opportunity for a candidate on the upward curve, looking for a “next level” role.

DUTIES AND RESPONSIBILITIES

  • Heavy calendar management, accounting for day-to-day meetings and movements, both business and personal.
  • Email management
  • Manage and maintain contact lists
  • Take notes, prepare memos, letters and reports
  • Coordinate global travel arrangements and prepare detailed itineraries
  • Organize and take care of mail and files
  • Assist with planning, organizing and coordinating events for various locations
  • Coordinating details for social events, which may entail handling invitations and RSVP’s, working with House Manager, Food and Beverage Manager, Chef, Florist, party planner, etc
  • Prepare gifts
  • Assist with various projects as required
  • Attend meetings, assist in preparation and printing of documents, agendas, and take and transcribe minutes
  • Run errands
  • Coordinate coverage for other executive assistant’s vacation and/or sick leave
  • General administrative support

Skills

  • Bachelor’s degree preferred
  • 5+ years of Personal Assistant with extensive diary management
  • Extremely detail oriented, organized, professional and reliable
  • Proactive and forward-thinking
  • Maintain a positive attitude and willingness to assist all team member
