Job Description

An award winning Financial Services firm going through massive growth are looking for an exceptional EA to join their energetic team. Based out of a phenomenal, brand new office in Paddington, this is a newly created role providing plenty of exposure across the business, interaction with Senior Leadership, and lots of room for growth.

We are looking for a personable individual with a can-do attitude and great initiative to support at C-Suite level. This role is looking after an established CEO who is entrepreneurial, incredibly busy and very chaotic! Therefore, we need a confident candidate who is very organised to go in and manage him, his diary, his inbox – really go the extra mile to implement order!!! You will also be looking after a COO who is new to the business.

The office is energetic and busy, highly sociable and fluid - no two days are ever the same. A flexible team player is essential!

Key Responsibilities

  • Diary management.
  • Arranging international travel, accommodation, ground transportation and visas when required.
  • Coordinating schedules, meetings, calls and appointments generally.
  • Expenses using Concur.
  • Scheduling management meetings, ensuring these are well prepared for with specific agendas and documents shared in advance.
  • Prepare and compile high-quality presentations, reports and documents for the Board, including high-level attention to detail and proofreading.
  • Attending meetings and minute taking.
  • Action taking and follow up to ensure accountability and delivery.
  • Build strong relationships with other executives, leaders, and team members across the business.
  • Inbox management.
  • Co-ordination of potential hires.
  • Arranging external lunches and dinners as required.
  • Ad-hoc event coordination for events hosted by the CEO/COO.
  • Holiday cover for other administrative positions within the business.
  • Ownership of the divisional organisation charts.
  • Greeting external guests when required.
  • Adding guest names to security visitor system ahead of time.
  • Personal support as and when required.
  • Act as the gatekeeper with discretion and professionalism.
  • Ad-hoc business projects and research.

Skills & Experience Required:

  • EA experience.
  • High attention to detail.
  • Team player.
  • A flexible and open-minded approach to all areas of their work.
  • Confident communicator.
  • Self-starter mentality and enjoy working both independently and collaboratively.
  • Good initiative.
  • Keen to learn and develop.
  • Personable and approachable as this is very much a ‘go-to’ role.
  • Enjoys working in a fast-paced environment.
  • Creative. Happy to problem solve and suggest new ideas.
