Job Description

A brilliant Team Assistant position has come up, working for a very friendly, boutique law firm in St. Paul’s. This is a varied and interesting position, working closely with the Office Manager and supporting across the wider team.

This role includes a great mix of office manager duties as well as legal administration.

Candidates must have around 2 years experience working within a legal company or financial services. Attention to detail and being super organised is a must!

You are joining the most delightful team, who do regular team lunches and other fun perks! This is a hybrid role with 2 days to work remotely.

Duties will include:

  • Assist with the billing and accounting function e.g. invoicing, chasing debtors, taking payments via credit/debit card, keeping receipts and updating our accounting system to ensure the active clients are paying their invoices
  • Assist with liaising with firm’s accountant and bookkeeper as needed
  • Schedule client meetings and new client consultations for lawyers
  • Liaising with outside tech support as needed
  • Assist with ensuring the firm is following GDPR rules
  • Assisting with the firm’s HR function: keep personnel records up to date, organize staff reviews; arrange candidate interviews, manage staff holiday, manage staff requests for time off and organising training courses as required
  • Assist with organising monthly firm office lunch meetings; organizing induction programmes for new employees, sending the office handbook, liaise with our firm’s payroll clerk when setting up a new employee on payroll
  • Assist with managing firm licenses and insurance renewals, office lease renewals etc.
  • Assist with updating the firm office manual and handbook
  • Assist with planning and organising office meetings and office events such as birthday cake and Christmas party
  • Assist Office Manager with office management projects or research as needed

The ideal candidate will:

  • Be interested and keen to work within a successful law firm
  • Be hungry to learn and take on more
  • Have at least 2 years office admin experience
  • Have experience working for a legal company or Finance
