Job Description

A fabulous opportunity has arisen to join a family style investment office as a Team Assistant and Receptionist. Based in beautiful offices in the heart of the West End, you will form part of a small but cohesive and incredibly friendly and collaborative team. With global investments and exciting clients, you will have exposure to UHNWI’s and other influential and senior individuals. Day to day, the role will be varied depending on the needs of the two principals but with this comes more responsibilities, variety and the opportunity to progress and develop professionally.

Duties include but are not limited to:

  • Answering and directing telephone calls in a professional manner, passing along messages as required
  • Anticipating the needs of the wider team to ensure affairs run smoothly and efficiently
  • Booking and managing travel arrangements as required
  • Create detailed travel itineraries
  • Booking couriers and shipments, as required
  • Communicating and relaying information to wider team
  • Expense management
  • Developing and maintaining excellent relationships with the team to ensure a proactive and efficient work-flow is maintained, happy to help and support the team in any way they can
  • General administrative support to team, assisting with project work as and when required
  • Handling of confidential family and business data
  • IT support to Principal and wider team
  • Assist in managing and monitoring corporate and personal telephone accounts
  • Front of house, welcoming employees and guests and offering refreshments
  • Monitor and maintain office management accounts and contracts
  • Monitor building maintenance and any contractors working within the office space
  • Office management
  • Preparation of letters, presentations, memos, reports and documents
  • Responsible for filing materials, documents and emails to maintain the business’ data vault
  • Provide cover for admin support team in the event of absence or leave
  • Run errands on ad-hoc basis, when necessary
  • Restaurant and club reservations
  • Setting up meeting rooms, leading meet & greet and ensuring refreshments have been offered
  • Maintaining stocks by placing orders when necessary
  • Research tasks for wider team
  • To assist and work collaboratively with the wider team as required
  • Occasional out of hours support required
