Executive Assistant Role Overview

Executive Assistant Responsibilities include (add or delete depending on your requirements):
- Diary management – scheduling meetings and appointments
- Inbox management – monitor and respond where appropriate
- Meeting management - scheduling, preparing rooms and documentation, taking minutes and highlighting Action Points
- Board support – preparation of Board papers, collation and distribution
- Relationship management/ Point of contact – internal and external ensuing highest levels of service at all times
- Managing logistics for all travel arrangements, including visas and any necessary paperwork, itineraries and agendas
- Maintaining up to date filing system and data base management
- Events management – coordination of events for clients and internal teams
- Preparing monthly expense claims
- Assisting with the preparation of reports and presentations
- HR: Management of staff benefits package; pension, health, insurance etc. Onboarding and offboarding employees. Induction packs. Maintain employee records – holiday/ sickness
- Marketing: Support with branding and design work for the company, working closely with marketing, company website and social media. Roadshow coordination
- Fundraising and Charity initiatives – supporting where necessary.
- IT: Software sourcing, IT enquiries
- Office Management: Maintenance, liaising with suppliers, health and Safety and office supplies
- Supporting other teams as and when required eg. accounts and legal
- Arranging couriers and processing post
- Ad hoc project work
- Ad hoc private assistance and liaison as required
